Privacy Policy

What we do with personal data, written to be read rather than filed. It covers our client work, the free calculators, and the Reconciler product — which handle data very differently.

Who we are

Reconciler AI Private Limited is a company registered in Ghaziabad, Uttar Pradesh, India. Under the Digital Personal Data Protection Act, 2023, we are the Data Fiduciary for the personal data described here. You are the Data Principal.

Two different situations

Our commitments are not the same everywhere, so we set them out separately rather than making one claim that is only partly true.

Reconciler AI, and the free calculators

Reconciler AI is in development. It is being built so that files uploaded are processed for the length of the check and then discarded — not written to a database, not used to train anything, and with no ability to write back to your accounting system. Until it is released, these are design commitments rather than descriptions of a live service. The calculators go further — they run entirely inside your browser, and the figures you type never reach our servers at all.

Our service teams

To build or run something for you, we necessarily hold client data — source code, business records, credentials, and social account access — for as long as the engagement requires. That is governed by contract and confidentiality, not by the product commitments above.

What we collect

  • When you contact us: your name, email address, organisation, and whatever you write in the message.
  • When you join the Reconciler waitlist: your email address, your practice size and what you file most often.
  • When you send a CV: what you send us — CV, portfolio, links, and correspondence.
  • When you visit the site: standard server logs, and anonymous usage counts only if you allowed them in the cookie notice.
  • When you use a calculator: nothing. The inputs stay in your browser.
  • During an engagement: the material we need to do the work, agreed with you in the contract.

Why we hold it, and on what basis

We use enquiry details to reply to you and to quote for work. We use waitlist answers to decide what to build first and who to tell at launch. We use application material to assess candidates. We use engagement data to deliver what you hired us for. Our lawful basis is your consent where you gave it — by submitting a form or accepting the cookie notice — and the performance of our contract with you where an engagement exists.

We do not sell personal data, and we do not use it for advertising.

Where we rely on consent, you gave it freely and you can withdraw it at any time by emailing us. Withdrawing consent is as easy as giving it. Where we still need the data to meet a legal obligation or to finish work you asked for, we will tell you which part we cannot delete yet and why.

The free calculators

The MSME interest, TDS interest, TDS section finder, HRA exemption and gratuity calculators execute in your browser. Amounts, dates and any other figure you enter are not transmitted to us, not logged, and not stored. Generating the MSME demand notice happens on your device. If you close the page, the data is gone.

They are provided for guidance. They are not tax, legal or accounting advice, and they do not replace the judgement of the professional signing off a return.

Who else sees it

We use a small number of service providers to run this site and our correspondence — email delivery, hosting, and form transmission. They process data on our instructions only. We do not share personal data with anyone else except where the law requires it. Where a provider is outside India, transfers are made in line with the DPDP Act and applicable restrictions.

How long we keep it

  • Enquiries and waitlist entries: until you ask us to remove them, or three years of no contact, whichever comes first.
  • CVs and applications: twelve months, unless you ask us to delete them sooner.
  • Engagement data: for the term of the contract plus any retention period agreed in it, then deleted or returned.
  • Calculator inputs: not retained — they never leave your browser. Reconciler AI uploads: designed not to be retained (see above).

Security

We use encrypted transport, access controls limited to the people working on your account, and credential handling separated by service team. No system is perfect; if a breach affects your personal data we will notify you and the Data Protection Board of India as the Act requires.

Your rights

  • Access — ask what personal data of yours we hold and what we have done with it.
  • Correction and completion — have inaccurate or incomplete data fixed.
  • Erasure — have your data deleted where we no longer need it for the purpose it was given.
  • Grievance redressal — raise a complaint with our Grievance Officer below and get a response.
  • Nomination — nominate someone to exercise these rights if you die or become incapacitated.

Cookies

The site works without optional cookies. We set only what is needed to serve pages and remember your cookie choice. Anonymous usage measurement runs only if you press Allow, and you can change your mind by clearing this site's storage in your browser. If you are in the EU or UK, the same choice covers analytics consent under GDPR.

Children

This site is meant for businesses and institutions. We do not knowingly collect personal data of children, and we do not direct any processing at them.

Changes

If we change this policy we will update the date at the top. Material changes affecting how we use data you already gave us will be notified by email where we have one.
